General Data Protection Regulations

As from 25th May 2018, new regulations came into force that affect how client information is used and stored. In accordance with these regulations, and to provide complete transparency, we detail below why and how client information is gathered, used, stored and accessed. This is not something new to us – we’ve been doing this for many years!

How information is collected
Client information is typically acquired through emails and data supplied by the client themselves.  It is common for us to sign a confidentiality or non-disclosure agreement to keep such information safe, confidential and to comply with requests for complete deletion if and when required.

When Excel VBA models are created, a copy is securely kept to facilitate remote support as required.

Before a training course it is normal to conduct a skills analysis on the delegates attending.

Why information is collected
Client data, and data supplied to them by a third party is often necessary to build Excel VBA development projects – EPOS data being a typical example.

Skills analysis data is sometimes collected before a training course to ensure that the best mix of skills attend the same course, and that the training structure matches the business needs of the delegates.  A report is created, recommending who should attend what course.  Once the course has been designed and run, all such data on individuals is destroyed.

How is information stored and accessed?
All client information and emails are securely stored electronically.

How information is used and shared
The information is used to create effective training courses and Excel VBA models that achieve the clients objectives. Information is never shared with a third party and email addresses are never shared or used for unsolicited communication.

A clients rights
A client has the right to receive copies of all information stored about them and their business, and this usually includes;-

  • Emails
  • Client history of work carried out
  • Excel VBA project work
  • Supporting notes

Because of the confidential nature of this work and because it often involves relating to third parties, client information will only be supplied, on printed paper or memory stick, to an authorised representative of the client themselves in person.  Identification may be required. The client will be required to sign a receipt for the document(s). There will be a reasonable administration charge for this service, to be paid when the initial request is made. All requests must be in writing, on company headed paper and signed by an authorised representative of the client – an email request will not be accepted as the identity of a sender cannot be 100% verified.
